Welcome and thank you for your interest in participating in the Heritage University Work Study Program.The program will allow students to pursue placement of their choice and serve as a tool for students to attain skills in the area of job readiness.

How DOES THE Work Study Placement Work?

  • Students must be awarded Work study. A Financial Aid Representative will award all work-study eligible students and determine the award amount.
  • Visit the job board after you have selected the desired job you wish to pursue. You will need to:
    • Submit your online work-study application here. If an agreement between student and supervisor is made (willingness to hire), the supervisor will inform the Work Study Coordinator.
    • If you are selected for a work-study position you will be contacted by Financial Aid to set up an appointment within 1-3 days to generate a contract. You will be required to attend a new hire orientation by Human Resources to provide necessary payroll documents (please visit http://www.uscis.gov/files/form/i-9.pdf for a complete listing of required documents, which must be presented at the meeting; one item from column A or one item from column B and one item from column C.)

Important FACTS about Work Study Placement:

  • Workstudy awards range from $2,000 - $9,000 for an academic year.
  • Students are allowed to work up to 19 hours per week but under no circumstance may a student work more than 19 hours per week.
  • Individualized placements will determine the hour allotment per week as well as the hourly wage.
  • Placement is determined by supervisor
  • Placement is limited, not all Workstudy Awarded students are guaranteed a placement.
  • Students who are hired through the workstudy program must maintain academic satisfactory progress
  • Students placed through the program are recommended to attend resume writing workshops, career fairs and participate in mock interviews

3. GPA 2.0 or higher

4. Attending 1/2 time (6 credits) or greater

  2. Schedule appointments as necessary for students and prospective students for admissions counseling, placement testing, and others as needed. 
  3. Supports Enrollment Services Office Aide as potential first point of contact for the Office of Admissions which includes phone, email, and in-person inquiries and visitors. Maintain an orderly and welcoming office environment, greet all visitors with pleasant and professional demeanor, and assist visitors in locating campus resources and services (including other offices on campus, parking information, local information about Toppenish and/or Yakima Valley).

Support Services

  • Electronic Filing of student records, faculty records, and budget records.  Note: Check both “file” and “to do” folders for tasks; watch email for assignments.
  • Make copies for faculty and adjunct faculty.
  • Assist faculty as well as adjunct faculty with any tasks assigned by supervisor(s).
  • Maintain purchase order database for departments supported under supervision of the Administrative Assistant

Daily Routine Responsibilities

  • Pick up and deliver intra-campus mail, often delivering directly to offices.
  • Pick up incoming mail and deliver outgoing mail, meeting mailroom deadlines.
  • Check copy machine(s) for paper; fill if necessary.
  • Make sure copy “room” is clean. (Throw away unclaimed papers; shred student personal information left behind, pick up paper from floor, clean counters off.).
  • Dust and wipe counters where coffee service and microwave are kept every day.
  • Weekly check the refrigerator for items that should be discarded; wipe the shelves.
  • Other duties as assigned.

 

Reception

  • Greet all students, visitors, faculty, adjunct faculty, and administrators with a smile when they approach the reception area and ask how you can be of assistance.

4. Operates other office equipment such as printers, copy machines, and fax machines. May need to troubleshoot equipment and contact service areas for repairs or support.

Receives and screens callers, both in person and over the phone; evaluates described problems and responds to inquiries regarding departmental services or documents and notices; refers callers to appropriate individuals and/or offices; provides the public and employees with general procedural and/or specific information regarding department, program or services; distributes and explains forms or requests; makes room reservations and/or schedules appointments.

6. Create and file documents and may be responsible for developing or modifying filing practices, including use of electronic rather than paper records. 

7. Provides clerical support such as: may serve as receiver of mail or correspondence for the work unit or area, and some or all of the responsibility for department supplies and inventories. This includes tracking the need to re-order, checking in supplies once received, and maintains or distributes as needed.

8. Uses a personal computer and variety of office software applications including work processing, email, and file management. Prepares professional emails and documents from scratch or uses predefined templates and form letters. Creates or maintains files in Excel. May create PowerPoint presentations or use other databases.

MINIMUM QUALIFICATIONS:

 

Must be eligible and enrolled for the HU work study program and have a GPA of 2.5 or higher.

Two years of office assistant experience.

Experience working in an office setting is highly desirable.

 

  1. Knowledge:
  • Must be able to communicate effectively over the phone and by electronic correspondence. A high priority is placed on business writing skills and the ability to take responsibility of work assignments.
  • Maintain cooperative peer relationships and is teamwork oriented.
  • Experience working with diverse students as well as potential first generation college students, students from low income backgrounds, and students with disabilities.

Position Summary:
Office Assistant is an entry level position that will provide support to the Trio Student Support Services Program. The student will assist project staff in preparing handouts and materials for students, maintaining program files, and performing general office duties. This job will include filing and mailing information to project participants as well as assisting with project activities.

Working under close supervision, Office Assistant is at the entry/trainee level. Employees are given detailed instructions in the performance of routine clerical duties related to filing, form processing, record maintenance, mail, and typing or data entry and perform tasks that are more structured and repetitive. As requisite skills and knowledge are developed, greater independence and the full scope of responsibility are exercised.

 

Principal Duties and Responsibilities:
1. Represents Heritage University in the most positive manner with prospective, former, and current students, clients, suppliers the community we serve. Interacts effectively with a diverse group of faculty, staff, students, and other customers of our services, learns, and uses operating practices of the department and Heritage University.

2. Upholds the Heritage University Mission Statement.

3. Handles confidential information with tact, discretion and in compliance with FERPA regulations.

4. Complete tasks by using basic office machines, such as computers, fax machine, copier, and calculator.

5. Answers inquiries related to department services, programs, and operations. This includes assisting the public in person or by phone, screen and route phone calls, and scheduling appointments.

6. Obtains information, resolves discrepancies, or errors, disperses relevant information, or refers client to the appropriate personnel or location; explains the proper use of forms and documents.

7. Verifies that information or data is complete, accurate, and consistent.

8. Maintains department files. This includes hard and electronic files using Student Access.

9. Manages staff calendars including scheduling of 160 Individual Success Plans, Retention meetings, and drop-in meetings.

10. Place reminder calls to students who have appointments with the S3 Program.

11. Track event participation for S3 TRIO program in excel data sheet.

12. Create all flyers for S3 events, workshops, and trips.

13. Make recruitment phone calls for all workshops, events, and trips.

14. Participate in recruitment tabling.

15. Answers incoming phone calls with professionalism, discretion, and tact.

16. Make daily mail run for TRIOS3 program.

17. Greet students seeking TRIOS3 services in a professional and timely manner.

18. Keep inventory of all TRIOS3 supplies/maintain supply closet.

19. Other duties as assigned.

 

Other Duties and responsibilities:
1. Performs other functions as necessary or as assigned.  Screens and distributes incoming mail and sends out informational materials and letters.  Processes, maintains, and prepares forms, records, reports, and control logs.

Minimum Qualifications:
During the regular academic year employees must be enrolled and eligible for the HU work study program; must be able to work at 15-19 hours a week; strong English grammar, vocabulary, spelling and punctuation and ability to utilize Word, Excel and other computer applications and possesses strong keyboarding skills. Capacity to follow detailed directions and are teachable.  Capacity to provide excellent customer service and strong organizational skills. Ability to stay on task and complete job requirements even when the office may become busy.
